JOB SUMMARY:
An incredible opportunity is available at a 5* Hotel based in Sandton.  The ideal person will be qualified and have at least 5 years Financial Management experience working in a 4 or 5 star Hotel.

JOB DESCRIPTION:

REQUIREMENTS
  • Finance and Accounting or related tertiary qualification
  • 5 years experience in the capacity of Finance Manager or equivalent within a 4 star or 5-star hotel environment
  • Self-driven individual with very little financial supervision, be commercially astute with strong leadership qualities

DUTIES AND RESPONSIBILITIES


Daily financial functions:
  • Processing of financial statements to present to owners and management.
  • Financial ratios for creditor’s payment, debtor’s collection period, stock turnover and solvency and liquidity.
  • Actual versus budget figures: monthly / quarterly / annual
  • Annual preparation for audits.
  • Participates in the strategic and profitable development of the hotel’s activities.
  • Full finance function including debtors and creditors, all financial transactions and audit preparation.
  • Strong budgeting and forecasting skills are essential.
  • Provides the necessary financial expertise to the Hotel’s management team and owners where required in order to assist the decision-making process.
  • Coordination and completion of the daily / weekly / monthly / quarterly reporting activities of the Hotel
  • Analysis and interpretation of statistical and financial information to appraise profitability, capital expenditure and performance against comparable periods.
  • Provides an independent, objective assurance and consulting activity, identifying opportunities aligned to the Hotel’s strategy for improving management control, designed to add value, improve the organisation's operations and achieve the hotel’s financial objectives.
  • Monthly financial packs for approval and presentation to ownership and management.
  • Compile variance report on budgets.
  • Solid knowledge and understanding of Hospitality PMS systems such as Opera, Micros and GAAP.
  • Implementation of policies, procedures and systems for the hotel’s financial function.
  • Payroll.
  • Compliance with any relevant statutory requirements.
  • Lead financial meetings.
  • Complete financial accounting and forecasting including weekly cash flow.
  • Deliver reports and metrics to leadership.
  • Lead a small team and review the team's daily schedule.
  • Assist with operational queries (various departments).
  • Assist Directors with queries, Adhoc reports etc.
Monthly:

Payroll
  • Check all payroll input sheets are correctly filled in and supporting documentation attached.
  • Check all payroll inputs, verify against supporting documents.
  • Ensure that all calculations are done correctly.
  • Ensure that all payroll information is legally compliant (in line with BCEA, AOD’s signed).
  • Check payroll reports against prior month – verify no unauthorised changes eg. basic salary etc.
Creditors
  • Check all creditor invoices, ensure posted to the correct accounts in Pastel.
  • Journal all incorrect postings.
  • Follow-up on quotations, pro-forma invoices.
  • Ensure creditor invoices are valid and credible.
  • Query any unusual expenses.
  • Check and authorise supplier recons.
  • Check and authorise supplier payment schedules.
  • Prepare weekly and monthly cash flow.
  • Payroll journals.
  • Salary Control Account Recon.
  • VAT Recon and Submissions.
  • EMP201 verification and Submissions.
  • Admin fee calculation and journals.
  • Monthly stock-take – coordinate stock-takes, check and verify all department stock-sheets.
  • Inventory recon and journals.
  • Review and sign off petty cash recons.
  • Review and sign off cashbooks.
  • House Accounts – check recon, verify against slips.
  • Debtors age analysis – check recon, assist with resolving problems.
  • O-Status – check recons (Groups & FIT), assist with resolving problems.
  • Balance sheet – check for any misallocation and journal.
  • Prepare and distribute management accounts.
  • Prepare and distribute shareholders' accounts.
Quarterly/Yearly:

KPA’s (quarterly)
  • Annual budgets (detailed, with income statement).
  • EE & WSP – assist with compiling, finalising reports and submissions.
  • Tax Year-End – IRP5 recons and submissions.
  • Distribute IRP5 Certificates.
  • COIDA – calculation and submission.
  • Hotel Rates (annual increase) – assist with rate calculations, negotiations.
  • STO Contracts – assist with rates, check T&C’s.
Other/Adhoc:
  • Assist Finance team (solve queries, supplier invoice/statement problems etc).
  • Insurance – claims, updates.
  • Legal – sort out any legal issues (service providers etc).
  • Retrenchment – calculate packages, liaise with HR, get Tax Directives.
  • Travel Agent Commissions – check calculations against hotel records (invoice, booking confirmations etc).
  • Guest Refunds – check if valid, all relevant documentation received and cancellation policy applied.
  • Debtors Contracts – assist with vetting & setting up accounts.
Prior Years Audit:
  • Reconcile all accounts, process journals.
  • Prepare audit files for auditors.
  • Liaise and assist auditors.
