POSITION INFO:

MAIN PURPOSE OF THE JOB

To provide high-level executive support to the CEO, ensuring efficient office management, strategic coordination, and seamless communication between the CEO, internal management, and external stakeholders. The role requires a proactive, detail-oriented, and solutions-driven professional who can anticipate needs, resolve issues before escalation, and maintain the highest standards of excellence in all tasks.

QUALIFICATIONS AND EXPERIENCE

• A Degree (NQF Level 7) in Business Administration, Public Management, Law, or related field.
• Certificate in Corporate Governance/CSI (advantageous).
• Secretarial Certificate qualification will be an advantage
• Experience:
• Minimum 3 years’ experience as an Executive Assistant/Office Manager to a CEO (SETA/government/private sector).
• Proven track record in business writing, compliance, and stakeholder management.
• Public sector experience and knowledge of SETA/DHET processes is advantageous.

KEY PERFORMANCE AREAS

1. Executive Office Management & Strategic Support

• Efficiently manage the CEO’s diary, ensuring optimal scheduling, prioritization, and follow-ups. Act as a gatekeeper and liaison between the CEO, management, and external stakeholders (e.g., DHET, government entities, industry partners).
• Review, draft, and finalize high-quality business documents (reports, submissions, presentations, letters) for the CEO’s approval.
• Analyse and refine submissions from management before CEO review, ensuring accuracy, compliance, and professional business writing standards.
• Prepare minutes for executive meetings and track action items for timely resolution.
• Track action items from Board resolutions and ensure that all items are actioned timely and effectively.

1. 2. Organisational Legal Services

• Resolve operational and administrative challenges before they reach the CEO.
• Think critically and innovatively to improve office efficiency and stakeholder engagement.
• Conduct research, analyse data, and provide insights to support decision-making.

1. 3. Compliance & Governance

• Ensure all activities in the CEO’s office adhere to laws, SETA policies, and regulatory requirements (e.g., PFMA, DHET standards).
• Maintain confidentiality and professionalism in handling sensitive information.

4. Logistics & Stakeholder Management

• Coordinate travel arrangements, ensuring seamless logistics (flights, accommodation, visas, itineraries).
• Verify all travel documents are in order before departure and ensure all is well at destination.
• Engage with key stakeholders (government, industry, training providers) on behalf of the CEO.
