Office Manager – Budget/Facilities

SUMMARY:
Do you have a tertiary qualification, professional image & presentation, with min five years management experience dealing with budgets, office admin & facilities reporting directly into Executive level?
 
Based in CPT CBD, our corporate client requires your outstanding interpersonal communication skills to manage all aspects of their growing office requirements?
 
Experience for this role needs to be in managing an office in excess of 100 employees.

POSITION INFO:
REQUIREMENTS

• Matric, 5 years’ experience in Management would be non-negotiable
• Bachelor’s degree or similar, or Project Management Diploma advantageous
• MS Office proficiency & min 7 years’ work experience in a similar position.
• English (Read, write & speak), additional languages advantageous
• Ability to successfully interact with CEO, Line Managers & Head of Teams
• Effective self-management, teamwork & sound relationship building skills
• General office operations knowledge & understanding of an office operating model
• Change management, strong decision making & organizational skills
• Report writing skills, excellent written and verbal communication skills
• Strong organizational and planning skills

• Coordinating and managing office administration reporting to the CEO
• Managing office expenses e in line with allocated budget
• Ensuring office systems are implemented and operational
• Ensuring effective communication to all office staff while maintaining an inclusive office environment
• Controlling of equipment procurement in line with IT
• Planning of office events
• Managing the team reporting in, monthly meetings and minutes of meetings
• Managing facility management vendors, including cleaning, catering, procurement of supplies and security services
• Managing, maintaining, and reviewing the office insurance policies
• Attending to employees’ queries regarding office management matters (
• Ensuring that all items are invoiced and paid within agreements
• Assisting in the onboarding process of new hires
• Ensuring policies & procedures are aligned to current office practices
• Coordinating staff schedules and assigning employees accordingly
• Responsible for the seating plan of all office-based employees
• Assisting in identifying training needs within the team
• Develop & implement policies & procedures in customer centricity
• Following deadlines, providing appropriate resolution for tasks or deadlines not met
• Maintaining a positive attitude and being the main point of contact for all employees
• Managing and controlling stock monthly and the corporate budget
• Controlling the SOP writing and development
• Managing 7 cleaning staff & operations, controlling inventory list of cleaning equipment
• Ensuring health and safety standards and practices are adhered to
• Managing budget reports, record keeping, vendors, training reports, inventory and planning registers, stock control
• Ad hoc projects – relocation of premises and staff, office renovations, office events, planning logistics for sponsored events
