PA / Office Manager - Paarl

SUMMARY:
Our client a constructions company in Paarl is looking for a young and dynamic Office Manager / PA to join their team.

POSITION INFO:
Requirements:
Matric with relevant qualifications
Previous Experience in a PA / Office management role is essential
Financial background is essential
Excellent administration skills
Driver license and own transport

Responsibilities:
Administrative Support:
Provide support to Managing Director handling scheduling and
coordination of meetings and general personal assistant.
Handle Estate admin pre-requisites.
Streamline project control procedures and ensure timeous
reporting.
Implement and enforce office policies and procedures to
enhance efficiency and productivity.
Office staff management; Assign tasks & set performance
expectations and provide guidance and feedback to ensure the
team's effectiveness and development.

Records and Document Management:
Develop and implement efficient systems, both physical and electronic, for the storage and retrieval of documents, records, and reports.
a) Site Instructions
b) Variation Order

Continuous Improvement:
Identify opportunities for process improvement, implement changes, and streamline office procedures to enhance efficiency and productivity.

Process Improvement:
Identify and implement process improvements to enhance office operations.

Compliance:
A. Appointments
No Sub Contractor to commence work without a signed Sub Contractors Agreement (Template on dropbox)
Sub Contractors to agree to contractual pre-requisites in appointment (Health & Safety, BIBC, Medicals etc)
Payment terms or wage sheet with agreed remuneration included with each appointment.

B. Employees:
Ensure all employees have formal appointment signed on file with distinct terms of employment i.e sick leave, work hours etc.
Employees have proper branded workwear.

C. Ensure Contractors All Risk insurance is updated per site.

D. Ensure Asset register is updated and have the necessary insurance cover.

Bi-weekly Wage fortnight
Ensure that Manager receives all Sub Contractor wage claim by Close of Business
Including sign off from each Site Manager responsible
for the relevant sub-contractor.
