PAYROLL OFFICER
The person will be responsible to manage and maintain proper flow and recording of employee related personal and remuneration information to ensure accurate payments of salaries and benefits, and reporting on People Support activities and information. This role will also be responsible to manage and leverage human resource information and systems (HRIS) solutions in support of the business objectives.
Payroll Maintenance & Administration
Accurate, timeous and consistent end to end processing of company payroll (monthly salaries, annual increases and bonuses)
Maintenance of payroll system and leave administration system
Processing and administration of all additional pay related allowances (i.e. standby allowance, shift allowance, subsidised meals etc)
Responsible for accurate and compliant payroll system setup
Update and Maintain details pertaining to new employees and current employees
Manage and maintain staff movement and change process to ensure business compliance
Manage the monthly reconciliation and submission of statutory returns
Manage the monthly reconciliation of Benefits deductions, payments to 3rd Party service Providers, Earnings and all other salary related transactions
Co-ordinate the timeous processing and distribution of Payslips monthly
Timeous handling and resolution of Payroll queries
Onboarding of New Employees
Coordinate and facilitate Employee benefits Orientation
Coordinate the collation of all documentation for new employees as per Legislative requirements
Co-ordinate Employee benefits registration with 3rd party service providers
Benefit Administration
Communicate and liaise with 3rd party service providers all change requests impacting Medical Aid and Provident Fund memberships
Timeous handling and resolution of Employee benefits queries
Manage and maintain all records maintenance pertaining to employee benefits
Manage the Maternity Benefits Process
Manage the administration of the Provident Fund and Group Life
Adding and removing members from Provident Fund, Group Life and Medical Aid/ Primary Care
Providing employees with all necessary information on Employee Benefits
Assisting employees in submitting claims to the various benefit administrators
Educating and training employees and management on employee benefits and how it works
Maintain SAGE PEOPLE 300 with correct Benefits Linking
HR Information Systems & Reporting
Capture, process and maintain employee data timeously and effectively on Sage People 300
Administer and maintain Sage People 300 systems in accordance with system requirements, standards and setup
Maintain the different modules on Sage People 300 accurately and on a regular basis to ensure data integrity
Update and maintain electronic employee files
Update and maintain the Job Grading on Sage and ensure it is linked correctly
Represent the Payroll team when integration of new systems into Sage is planned to ensure the correct transfer of information
Prepare and run HR reports on a monthly basis or as requested
Update and publish Company Organograms on a monthly basis or as and when requested
Provide training to users on the HRIS system when required
Accurate and timeous delivery of ad hoc, monthly and annual HR Reports – Costing Report, Variance Report, Leave Provision Report
Staff Card payment recons
Investigate and implement more efficient ways of working with the system and ensure 100% utilization of all functionality.
System Administration & Support
Manage and Maintain employee contracts
Manage and Maintain Employee Filing system
Administration of all employee information and records
Provide effective HRIS administration support to Head: HR and for the development and implementation of HR projects
Complete and submit al legislative documents accurately and timeously
Provide support to users by handling all HRIS related queries
Exit Process & Procedure
Timeous processing of terminations on records and systems
Employment Equity Compliance
Provide People Support Manager with EE reports and data on a monthly and annual basis
Capture EE compliance for all employees on the system (OFO codes, EE Skill level, race, gender, disability, etc.)
Manage and maintain the EE module on the HRIS system and ensure that all data is correct
Policies & Procedures
Provide input into the Payroll and HRIS Policy and procedure
Implement and monitor the consistent application of the Payroll and HRIS Policy and Procedure
Service Delivery
Build and maintain relationships with employees, Management and the wider HR team
Maintain high Payroll and HRIS service levels to support business
Tax
Validation and Submission of Mid-Year and Year End employee tax returns.

Requirements:
Experience
5 years'''' Payroll experience
Experience within a Financial Services/ Contact Centre environment is advantageous
Experience on Sage and Sage People 300 advantageous
Qualification
Grade 12
Degree in Social Sciences/ Human Resource Management/ Industrial Psychology
Functional Knowledge and Skills
Knowledge and experience in payroll (SAGE) and HR Information systems (SAGE People 300, ESS) processing
Knowledge and experience of PAYE and statutory compliance and understanding of employee benefits
Knowledge and experience of payroll reconciliation processes
Knowledge of Labour Legislation, specifically Skills Development, Employment Equity and BCEA, and Tax regulations as it relates to remuneration practices
SALARY: R35 000 PER MONTH
