JOB SUMMARY:
Project Administrator (2 year contract)

JOB DESCRIPTION:

The Project Administrator will be responsible to build the capacity of and assist the National and Provincial Treasuries to exercise oversight over and provide technical support to municipalities to implement mSCOA

Institutional support:

• Draft a Support Plan (SP) based on the scope of work.
• Coordination of sign off of administrative documents required from the MFIP advisors (including annual support plans, monthly activity plans and reports, performance reviews, etc.)
• Manage and process travel requirements from Technical Advisors

General administrative support:

• Performing secretariat duties for meetings and training sessions related to the specified work streams, including but not limited to booking venues and parking, arranging, catering, distribution of meeting invites, following up on RSVPs, preparing and distributing agendas and minutes, following up on presentations and other meeting documents , etc
• Manage filing and document validation for work streams, including:
o Verifying that all required documents are saved by TAs to ensure adherence to all MFIP and National Treasury protocols and procedures.
o Validating documents submitted by municipalities and PTs/GBA to ensure that it complies with requirements.

Correspondence and reporting:

• Preparation of correspondence (emails, formal letters, etc) related to the specified work streams.
• Consolidation and preparation of reports, presentations and statistics on the specified work streams for National Treasury management.
• Formatting and quality assurance of documents for these work streams.
Knowledge management • Maintenance of the filling system(s) for the specified work streams, including ensuring that the relevant audit evidence and knowledge products produced is available on the filling system
• Maintaining correspondence registers to ensure that queries are recorded and responded to.
• Other outputs related to the mSCOA, budget and revenue management, budget and financial management and the MFRS as may be requested by the Directors and Chief Directors.


QUALIFICATIONS & EXPERTISE

Highest qualification obtained in one of the fields
A bachelors in
• Project administration
• Public administration

A minimum of seven (7) years’ experience in project administration with five (5) years’ experience in
• Maintenance of filling systems
• Travel booking applications
• Coordinating month-end invoicing procedures for advisors/consultants
• Providing administrative secretarial support
