Contract Executive Assistant

JOB DESCRIPTION:

Looking for an experienced Executive level Executive Assistant to support the Chairman and CEO and Chief of Staff from October for a 5 month contract position based in Sandton.

Experience required:

PC literacy – Advanced MS Office

Type 60 - 70 wpm

Relevant National Diploma – Secretarial/Business Administration

Valid driver’s license and own transport

Proactive

Polite & professional

Positive attitude and sunny disposition

Minimum 5 years’ experience as a senior Executive Assistant, Personal Assistant or Secretary, not negotiable

Duties include:

Liaison with Executive team, Shareholders, field teams, senior business executives, trade, external service providers Diary management - planning and coordination of meetings

Email management and filtering Extensive local and international travel arrangements (both work and personal)

Co-ordination, planning and construction of Board pack

Prepare presentations

Minute taking

Organising catering for meetings and functions

Drafting of VIP guest letters

Expense reconciliations for Chairman, CFO & Management Board

Co-ordination of UK office expenses and payments

Liaison with insurance providers (medical & travel) on behalf of Chairman

Liaison with IT on behalf of Chairman

Ordering and controlling of stationery

Organising collections, deliveries and courier shipments

Guest lost and found queries

Maintaining filing systems
