Operations and Contracts Coordinator

Our client is looking for a operations and contracts coordinator to join their team.

POSITION INFO:
Location: Centurion Reports to Key Accounts Manager Role Overview The Operations & Contracts Coordinator is responsible for managing end-to-end administrative, contractual, and logistical processes relating to beans and oil operations. The role ensures accurate invoicing, efficient stock and contract management, and seamless coordination between suppliers, transporters, clients, and plant operations. Credit Notes & Dispute Resolution
- Investigate all credit notes and disputes
- Liaise with suppliers and customers to obtain required information
- Compile and verify supporting documentation
- Create Credit Requests (CR) and submit for approval
- Ensure documentation is filed correctly
- Communicate outcomes to debtors Invoicing & Financial Administration
- Ensure all stock items are invoiced accurately
- Manage intercompany invoicing
- Resolve invoice discrepancies
- Ensure invoices are sent daily
- Create pro forma invoices when required Sales Order Management
- Process non-stock and toll crush orders
- Create SOs for short invoices
- Correct incorrectly invoiced items
- Ensure plant receives all orders Beans – Contracts & Logistics
- Manage all supplier contracts
- Perform supplier reconciliations
- Send weekly planning (Thursday)
- Resolve double bookings and booking errors
- Ensure BLK numbers are issued
- Monitor vehicle movements and deliveries
- Handle disputes, claims, and variances
- Communicate with suppliers and plant Oil – Sales & Operations
- Monitor stock levels (Costco / CBDO)
- Send sales planning
- Ensure stock movement
- Manage contracts and payments
- Handle disputes and claims
- Oversee tanker loading and washing Weighbridge Oversight
- Monitor vehicle flow and delays
- Ensure WB numbers run in sequence
- Assist with queries (incl. weekends)
- Ensure SAG reporting is completed
- Manage stock counts and system corrections
- Oversee weighbridge staff TVP Orders & Customer Management
- Capture and manage TVP orders
- Handle customer queries
- Manage NCRs and damaged stock
- Ensure correct pricing and quantities
- Close completed orders
- Ensure payments are received Key Skills & Competencies
