Actively seeking to employ a self-driven Skills Development Intern to join a dynamic team on a 12 moths fixed-term contract. JOB DESCRIPTION:

Role Purpose
Provide an effective and efficient administrative and operational assistant function to support the Skills Development Lead

Requirements

  • Matric and a tertiary qualification in Human Resources / Learning and Development or suitable qualification
  • A minimum of 3 years’ experience in an administration or support role
  • Solid knowledge of skills development legislation
  • Experience in dealing with learnerships, Internships and Bursaries
  • Experience in working on BBBEE Tracking system (advantage)
  • A natural affinity to administration tasks, and detail orientated
  • Good communication and computer literacy skills
  • Methodical, analytical and deadline driven
  • Able to solve problems and work under pressure
Duties & Responsibilities

Compile and Submit WSP/ATR information timeously
  • Ensure Annual Training Report information is sufficient and accurate
  • Audit and moderate information captured on the LMS to ensure that all information required is correctly captured by L&D Administrators
  • Collate information for the annual training report
  • Ensure that the report is completed correctly on the SETA templates in time for approval and submission
  • Ensure WSP information is collated and complied correctly as per the SETA requirements in time for approval and submission.
Skills Development Coordination
  • Assist with consolidation of the annual skills needs analysis
  • Assist with capturing of SETA Initiatives
  • Assist with the recruitment process of Interns and Learners as well as their onboarding process, conduct regular check-ins and support throughout the programme
  • Ensure Learnership documents are completed, verified and all supporting documents are submitted.
  • Assist with coordination of training programmes related to any skills development initiatives
  • Arrange and communicate the logistical arrangements with delegates, line managers and facilitators
  • Ensure all SETA requirements are met with regards to contracts, documentation, verifications and monitoring tools.
  • Arrange events such as graduations where appropriate on certain programmes
Client and learner engagement
  • Build and maintain relationships with internal and external stakeholders
  • Manage client query processes and ensure that queries are tracked, accurately resolved and used as a mechanism to improve client service and business processes
  • Provide assistance to learners and monitor progress
  • Schedule and manage learner and mentor sessions
Bursary Management
  • Coordination and payments of bursaries
  • Receive departmental bursaries for clients ensure documents are completed correctly and documents attached.
  • Verify the invoices and process the payments
  • Ensure documentations and allocation of payment to Institutions and documents has been signed off
  • Ensure the remittance is sent to the staff as proof of payment.
  • Track the staff results and follow correct claw back process
  • Work closely with payroll to ensure clawbacks are in place and actioned
Reporting
  • Ensure all skills development data is accurate and sufficient
  • Ensure the BBBEE toolkit is updated on monthly basis
  • Maintain training data for BBBEE verification
  • Assist with the skills Audit (i.e. ID copies, certificates and other related documents).
  • Ensure all supporting documents are provided as requested by the Auditor (BBBEE)
  • Maintain statistic on learnerships, Internships, TVET WIL, skills Programmes and other training projects
Administrative Support
  • Provide secretarial support (agenda, minutes, action plans etc.) for the preparation and successful execution of meetings
  • Support the flow of information within the department, ensuring that matters requiring attention are handled speedily.
  • Ensure learner records and admin files are kept in order and easily accessible.
  • Collate, compile and distribute documents to the required standards within defined time-frames.
  • Attend to ad hoc departmental matters.
