JOB SUMMARY:
A leading digital concern requires a Project Administrator to attend to all administrative tasks with regards to new store roll-outs and non-contractual maintenance for existing stores.

JOB DESCRIPTION:

Requirements:
  • Matric.
  • Relevant qualification and/or experience in project administration.
  • Verbal and written communication skills.
  • Advance knowledge of Microsoft Excel and Word.
  • Attention to detail.
  • Good administrative skills.
  • Ability to identify possible risks as well solutions thereto.
  • Ability to deliver work within a set deadline.
  • Being able to perform well under pressure.
  • Able to adapt to operational changes.
  • Customer service orientated.
Duties and responsibilities:
Process Documents:
  • Collect process documents from Project Tray in Finance Office.
  • Distribute to all parties internally.
  • Scan and file both soft and hardcopies of documents.
  • Track each paid projects/maintenance jobs.
  • Compile excel document of projects/maintenance jobs completed.
  • Collect status information from Regional Project/Regional Manager.
  • Report information back to the Finance Department for month end billing.
  • Ensure all post installation tasks have been completed (i.e. Support Contact Details, Add Mileage on ME, Add SID on CMS if received, Installation details and Warranty end dates, Service Request has been resolved, Store information updated on CMS/ME, Venue comment posted as per ME, Installation pictures uploaded on CMS, Set Trading hours on CMS & Arcus – Take screen shot of Arcus Trading hours and save on CMS venue, Link devices on Arcus to venue, CE/quote uploaded on CMS).
Project Administration Tasks:
  • Client Liaison with regards to store information
  • Venue Creation on CMS
  • Venue Creation on ME
  • Venue Creation on ARCUS
  • Image Request as per BOM
  • Service Request creation on ME
  • Venue comment posted of scope of work and ME ID number
  • Sign off creation for installation
  • De-activate venues on CMS & ME
  • Update venue names when changes occur on both CMS & ME
Installation Calendar (Projects & Maintenance):
  • Bi-weekly meetings with RM’s to book open maintenance jobs
  • Weekly meetings with PMs to book new installations
  • Installation calendar bookings to be added to the online calendar as per Project Manager and Regional Manager
  • Online calendar’s access is to be kept limited.
New network & project roll-out reporting:
  • Organising internal brief meeting
  • Compose meeting minutes
  • Collect all department specific information discussed in meeting and distribute.
  • Compile required documentation (Audit sheets, Sign off etc.)
  • Compile project plan and inform all parties
  • Compiling project report for Network Director.
Updating internal documentation:
  • Audit Sheets
  • Network specific sign off
  • Maintenance sign off
  • Internal processes
Adhoc:
  • Adhoc duties as requested by Head of Department or CEO.
